Objectives

  • Establishment of Project Management and Reporting Structure
  • Provide effective project management support in adherence with the work packages
  • Develop user-friendly internet communication tool for dissemination
  • Oversee wider dissemination of project information

Task 1: Project Management
Task leader: France – IFB (1)

Specific Objectives: Structure: project management is arranged in three layers, starting with the supporting Secretariat at the centre.

  • (I) Co-ordinator: INRA-IFB(partner 1), by the way of it’s Chief Executive Officer wil be the contracting Co-ordinator on behalf of the BiodivERsA consortium.
  • (II) Secretariat INRA-IFB: To assist in its day to day management tasks, BiodivERsA will be supported by an Executive manager, a secretary and a Financial and Contractual team (see below), forming the Secretariat. Tasks of the Secretariat will include:
    • The coordination and support of the Management Team (MT, see below).
    • Organising meetings of the MT and preparing minutes
    • Implementing recommendations of the MT
    • Information hub dealing with external and internal queries
    • Relevant financial and contractual matters
    • Developing the consortium agreement (CA)
    • Providing editorial support to the WP and Task Leaders
    • Organising translations where necessary
    • Monitor project web site
    • Co-ordinate dissemination of information
  • (III) Management Team (MT): composed of the 5 Partner Work Package Leaders, high level representatives from Partner organisations, @wise members and the Executive Manager. The MT will be chaired by the project Co-ordinator (Partner 1). The MT will bear the overall responsibility for the implementation, the progress and success of the BiodivERsA project. The MT will meet as required and at least twice per annum. It will be chaired by the Co-ordinator (Partner 1). The MT will be responsible for management decisions and approval of documents and working practices

Dissemination: Management will address implementation of long term and effective integration and co-ordination within BiodivERsA. As effective communication will be pivotal to the optimal impact of BiodivERsA, management will also determinate aspects of dissemination to:

  • Ensure regular updating of material on the project web site
  • Place WP reports on the web
  • Develop a mailing list
  • Filter information and disseminate appropriately
  • Establish and maintain publication list associated with BiodivERsA
  • Develop a Dissemination Strategy

Terms of Reference: a modus operandi will be prepared for each of the above management structures. Further details on the responsibilities of the Co-ordinator, Secretariat and other elements are provided in section B.6.1 Project Management.

Task 2: Dissemination of knowledge
Task leader: Sweden – VR (17)

Specific objectives:

The objectives of this task are to:

  • Facilitate an active communication between the partners within BiodivERsA
  • Disseminate results of BiodivERsA to different stakeholders

Development of user-friendly internet communication tool
Including:

  • Extranet and Intranet available for the members of BiodivERsA
  • Personalised mailing for the selective dissemination of information
  • E-mail fora on topics identified by the work package leaders
  • Open access to the internet portal for wide dissemination of the results of BiodivERsA.

The partners will provide information on:

  • National reserach activities: research programmes, calls for proposals, etc. Profiles and related databases will be developed in association with Tasks 5.1
  • Research information: funding opportunities, FP6 – FP7 funded projects, ESF schemes
  • Communication with other ERA-Nets, and other appropriate networks
  • General information: events, virtual library, directory of web site links.

Information will be categorised as: general content, news, events, documents and web site links. Reports may be prepared as requested by the partners.

Wider dissemination of project information
Establish, from the initial stages of the project, a web-based electronic information platform to facilitate exchange of information on biodiversity research programmes and infrastructure between project partners and disseminate information to the wider community. This communication tool will support lasting co-operation, beyond the life of BiodivERsA. Other aspects will involve the development of a brochure, and posters / literature for dissemination at international forums.
